The 30-Day Pilot Build

Three working modules of your operation, live in 30 days.

Fixed price. Founder led delivery. Dual guarantee. The Pilot is a real delivery, not a diagnostic. Two slots per cycle.

20 minutes on the fit call. Or two minutes on the scorecard first. Your choice.

Pilot pricing

USD 5,000

Flat. 50 percent on kickoff. 50 percent on delivery.

Three working workflow modules

Login and user management plumbing

Production-ready deployment

Dual guarantee in the contract

Limited to 2 pilot builds in delivery at a time

Pilot graduates carry a twenty-five percent discount into BuildX scoping.

What You Actually Get

The Pilot is not a brochure. Here is what ships.

Eight deliverables in the contract. Nothing in the room that is not on this list. Nothing on this list that we do not hand over.

Three working workflow modules

Built around the highest friction parts of your operation. Named and listed in the written quote before we start.

Written discovery and scope doc

A one-page scope doc, the three modules, the acceptance criteria. The contract you sign, not a pitch deck.

Production cloud deployment

Shipped to AWS or Cloudflare under your account. You own the infrastructure. You keep the bill.

Login and user management plumbing

Roles, permissions, password reset, invite flow. The boring parts that make software safe to hand to the team.

Documentation, SOPs, and Loom walkthroughs

Your team can onboard themselves. A README no one reads is not handover. Screen-recorded walkthroughs are.

14-day live-test hypercare

Direct access to the founder on WhatsApp and email during the first two weeks of live use. Bugs fixed, tweaks applied, not an upsell.

Code and IP ownership, no lock-in

You get the git repo, the deployment, the secrets, and a rollback plan on day 30. We are not the only ones who can run it.

Dual guarantee in the contract

Delivery extension plus 25 percent off follow-on. 50 percent refund after 14 days of live use if it is not fit for purpose. You keep the code either way.

Everything on this list. USD 5,000 flat. No change orders.

We do not charge you separately for deployment, docs, or handover. If the scope needs to grow beyond three modules, it becomes the first chunk of a larger engagement we quote after you have the first outcome in your hands.

What We Need From You

Your side of the 30 days. Kept small on purpose.

Custom software projects fail when clients have to run them. The Pilot is designed around your existing operation, not your calendar. Here is the total ask.

About 4 hours of your time

Spread across two weeks of kickoff. One discovery session, one check-in, one review. We handle the rest.

Read-only access to what you already have

The spreadsheet, the WhatsApp history, the old app. We shadow and build. No forms to fill, no transformation memos to read.

One decision-maker on email

Someone empowered to say yes or no in 24 hours. We will not ping five stakeholders for one scope question.

You keep running the business. We shadow and build around it.

Promise

If any of these are yes, the Pilot is for you.

Three questions. One yes is enough. The Pilot was scoped for exactly the operator who answers honestly here.

01

Is your ops still running on Excel?

02

Is WhatsApp or email your system of record?

03

Is the senior person in your team the bottleneck when they are unavailable?

Yes to any one? You are exactly the operator we built this for.

Proof

What we can defend today.

Three facts. No fabricated metrics. No 3x, 5x, 10x claims. Real credentials, real partnerships.

Pre-revenue honesty in the marketing copy

Founder led delivery

Every Pilot is run by the founder. No agency stack. Capacity is honest, which is why there are only two slots per cycle.

No fabricated metrics

We do not claim 3x, 5x, or any other percentage we cannot back. When the first Pilots deliver, the numbers will come from the clients who opt in to share them.

Credentialed, not self-taught

The founder holds the IATA and IBS Special Jury Prize for applied engineering and a Udacity Nanodegree in Neural Networks. WebXLR8 and Navadarsi are real working partnerships.

Plan

Three steps to working software.

01

Free 20-minute fit call

Walk through the workflow that is breaking. We confirm the Pilot shape is right for your situation, or say it is not.

Book a 20-minute fit call Take the Scorecard

Or two minutes on the scorecard first.

02

Written quote, three modules listed

We send a written quote naming the three modules we will build. Nothing hidden. Fixed price.

Within 1 to 2 business days
03

50 percent kickoff, 28 day build, 14 day live test, 50 percent on delivery

Predictable cadence. Weekly check-ins. Working increments delivered on the way, not a black-box reveal at the end.

30 days from kickoff

Three Modules, In Practice

What your Pilot could look like.

We pick the three highest friction workflows in your operation. Below are examples for three verticals we have delivered into. Yours will be scoped on the fit call.

Logistics

  • 01

    The Dispatch Board

A shared board replacing the WhatsApp thread, with state (pending, assigned, on route, delivered) and per-vehicle history.

  • 02

    The Driver Log Capture

Pre-trip, on-trip, post-trip entries with timestamps and photos. No more paper logs.

  • 03

    The Customer Status Link

A read-only link your customer can open to see where their load is without calling dispatch.

Trading and distribution

  • 01

    The Order Intake Form

One form for sales reps replacing the master sheet, with stock validation at entry.

  • 02

    The Approval Router

Orders above a threshold route to the senior person with one-click approve or reject.

  • 03

    The Shipment Tracker

Internal view of what has shipped, what is stuck, and what is coming back as returns.

Inbound only

Professional services

Served on inbound interest, not actively scoped. Examples below are from prior engagements.

  • 01

    The Client Intake Workflow

Structured onboarding replacing the ad-hoc email and PDF cycle.

  • 02

    The Document Collection Hub

Clients upload into a private space that notifies the team, auto-organised by engagement.

  • 03

    The Engagement Status Board

A board that is the single truth for what is open, what is waiting on the client, and what is closed.

Two Months After the Pilot

What changes once the software is live.

The Pilot replaces three workflows. The knock-on effect is bigger. This is what operators who close their own Spreadsheet Tax report six to eight weeks in.

Your senior person can take a vacation

Because the software, not their memory, is the source of truth. The team operates without them in the loop.

A new hire runs the board on day three

Onboarding is the software, not a tribal-knowledge transfer over three months.

Board meetings run off the dashboard

Not off whichever copy of the spreadsheet someone forgot to refresh.

You can actually hire without the system breaking

The bottleneck is not a person anymore. Growth does not double the reconciliation tax.

Dual Guarantee

Two-sided risk reversal.

The guarantee is in the contract, not the marketing copy. Both halves written in plain language.

Guarantee 1

Delivery

We hit the 30-day mark, or we pay for missing it. Continue at no extra charge until we deliver. Twenty-five percent discount on the next BuildX engagement, in writing.

Cause on our side

Triggers only when the slip is ours, not when the scope shifts under us.

No additional charge

We keep building until you have a working delivery, on us.

25% off BuildX scoping

Carried into the next engagement automatically.

Guarantee 2

Fitness for purpose

Fourteen days of live use to decide. If it does not solve the scoped problem, fifty percent refund and you keep everything we built.

50% refund window

Fourteen days of real use, then a clean decision either way.

You keep the code

Git repo, deployment, secrets, docs. All yours regardless.

No clawback, no lawyers

One email is all it takes. Burden of proof is on us, not you.

Honest Exclusion

Who this is for, and who it is not.

Good fit

  • Three to five CRUD workflows with state, roles, and notifications
  • Teams running on Excel, WhatsApp, email, or paper today
  • Operators who want a working system in weeks, not a selection process in months
  • Founders and senior leaders willing to show up for one hour in week one and short check-ins each week after

Not a fit

  • Real-time GPS tracking with sub-second updates
  • Complex multi-tenant SaaS products with millions of end users
  • Enterprise ERP replacements (SAP, Oracle, NetSuite)
  • Anything requiring formal SOC 2 or HIPAA audit inside 30 days

If You Do Nothing

The Spreadsheet Tax compounds.

Each month you defer, the cost grows. Not in invoices. In the hours you cannot get back, the hires who never close the gap, and the senior person who stays the bottleneck.

Month 1

Early signs

~20 hrs

Lost this month to reconciliation

"We will fix it on the sheet."

The same workflow keeps breaking. The team adapts to the friction instead of fixing it. You normalise the loss because it never lands on an invoice.

Month 3

Compounding

Worsening

1 hire

Burned. Problem unchanged.

The new person is the new bottleneck.

You hired someone to "handle the spreadsheet." Three months in they own the same problem. The senior person still touches every case. Hiring budget gone, pain unchanged.

Month 6

Compounded loss

Critical

180 days

Lost. Two Pilots could have shipped.

Same place. Less leverage. More regret.

Six months of workarounds compounded. One senior hire further from solving it. The Pilot would have shipped twice by now, and BuildX cycle one would already be in flight.

The bounded way out

Thirty days from now, the spreadsheet could be retired.

The Pilot is the only path on this page that ends with working software in your team's hands. Twenty minutes on the fit call is the next step.

FAQ

Pilot questions, answered.

Anything not on this list? Book a fit call and we will work through it together.

What happens after the Pilot if we want to keep going?

Most clients who finish a Pilot continue with BuildX, our full custom operational software build. BuildX picks up where the Pilot stopped: more modules, integrations, the full operating system, built in 30-day milestone cycles. Pilot graduates carry a twenty-five percent discount into BuildX scoping.

Can we skip the Pilot and go straight to BuildX?

Yes. For clients ready to commit, BuildX is scoped from the first call with cycle one structured to do the de-risking the Pilot would have done. The Pilot is the cheapest first yes, not the only door.

What if we need more than three modules?

We will flag it on the fit call. The Pilot is intentionally bounded at three so delivery is predictable. If you need more, BuildX is the path: 30-day milestone cycles, scoped per build, with a four-part guarantee stack. Pilot graduates get twenty-five percent off BuildX scoping.

What technology stack do you use?

Modern defaults with deliberate choices. Node.js, React or Next.js on the front end, PostgreSQL for data, AWS or Cloudflare for hosting, and integrations with whatever your team already uses (WhatsApp Business, Google Workspace, Microsoft 365). The stack is picked for your situation, not our preference.

Can we add modules after the Pilot delivers?

Yes. Many Pilots lead to follow-on engagements where additional modules, integrations, and automations layer onto the foundation we built in the first 30 days. We do not charge a separate onboarding for you to continue with us.

Who hosts the Pilot after delivery?

By default we deploy to a production-ready Cloudflare or AWS environment under your account. You own the deployment. If you prefer us to host and manage it, that becomes a small BuildX Assurance care plan after handover.

Do you offer an Arabic interface for GCC clients?

Where the workflow warrants it, yes. We can build the Pilot with right-to-left Arabic support and mixed-language content. Flag it on the fit call so we can scope it correctly.

What about support after the 30 days?

The first fourteen days of live use are covered as part of the Pilot. After that, the platform can enter BuildX Assurance, our monthly care plan that maintains it. Hourly ad hoc support is also available for clients who prefer not to subscribe. You are never locked in.

How many Pilots do you run at once?

Two at a time. Founder led delivery means capacity is the binding constraint. If both slots are filled, we will quote the next available cycle and start no later than that.
